    Approximate is fine. A realistic estimate beats a padded one — the block gets built around the number you give us.

    We source and negotiate

    Your specialist works the properties that fit, on relationships built over decades, and negotiates rooms and any meeting space together rather than separately.

    Guest-room commitment is the leverage that gets meeting space, comps and upgrades discounted. Negotiating them apart gives that leverage away.

    You review real options

    You get a short comparison of properties that actually fit, with the rate, what is included, and the terms that matter written out. No obligation to take any of them.

    Attrition, cut-off date and cancellation are explained before anything is signed. That is the part most groups find out about too late.

  4. 04

    Your specialist runs the block

    Contract, rooming list, changes, additions, the booking link for your people, and the front-desk problem at 11pm. One person owns all of it through checkout.

    You have one phone number for the entire stay. Not a call centre, not a ticket queue, not a different name every time.

The part nobody explains

Three clauses decide whether a block was a good deal

You will be walked through all three before anything is signed. Here they are anyway.

Attrition

The share of your held rooms you are financially responsible for even if nobody books them. This is where groups get hurt. Many blocks — especially weddings and teams where guests pay individually — can be built with no attrition exposure at all. Where a property insists on it, you get the number in writing before signature.

Cut-off date

The day unbooked rooms are released back to the hotel, usually two to four weeks out. Miss it and your people pay whatever the going rate is. This is the single most common way a good block quietly stops being one, and it is the date your specialist tracks so you do not have to.

Cancellation & the individual policy

Two different things that get confused. The block has a cancellation policy; so does each guest’s individual reservation. A block with generous terms and a 72-hour individual policy will still frustrate your people. Both get checked.

None of this is legal advice, and a hotel contract is a contract. What we do is make sure you understand what is in it before you sign, and negotiate the parts that are negotiable — which is more of them than most groups realise.

Timing

When to start

  • 6–16 weeks out

    The sweet spot. Properties still have inventory they need to move and real reason to negotiate for it. Most groups that call in this window do well.

  • 4–9 months out

    Best for weddings and reunions. Choice is widest, and you can hold two price points before your guest list firms up.

  • Under 3 weeks

    Call, do not fill in a form. It is often still workable, especially midweek or off-peak. But at that point the answer depends on what is unsold tonight, and that is a phone conversation.

  • Over 12 months out

    Worth it for annual events. A recurring group that can commit across multiple years has the strongest negotiating position in this business, and almost none of them use it.
